ConceptViz (“we,” “us,” or “our”) provides an AI tool for educational, scientific, and technical diagrams. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ConceptViz, you acknowledge that we process information as described below to provide the Service, protect users, prevent abuse, enforce our policies, and meet legal, payment, and platform obligations.

- Name and email address
- School, district, organization, subject focus, Education or Creator program application details, and related review notes (if provided)
- Authentication tokens for sign-in providers
- Product and plan status (for example free account, credit balance, Yearly membership, Lifetime membership, an existing Education grant, or an Education / Creator discount)
- Payment status and whether purchases were completed, refunded, or disputed
- Billing address when required by regulation
- Transaction IDs, customer identifiers, and discount or checkout identifiers from our payment processor (we never store full card numbers on our servers)
- Prompts, settings, and tool parameters you submit to generate or edit diagrams
- Generated images and metadata needed to deliver the Service (for example subject tags, project folders, history records)
- Credit ledger entries (purchases, gifts, consumption, refunds of credits for failed jobs)
- Limited log data to troubleshoot errors, combat abuse, and improve quality
To keep ConceptViz safe and compliant, we may process prompts, uploaded images, generated images, edit instructions, moderation results, risk scores, account activity, IP/device signals, hashes, and related metadata for content safety, abuse prevention, fraud detection, dispute handling, and policy enforcement.

- IP address and approximate region
- Session cookies or secure tokens to keep you logged in
- Optional device or browser signals used for anti-abuse (as described in product notices or cookies)
We do not intentionally collect student names, grades, or other student PII. Do not include such data in prompts.
We process your data to:
- Provide, personalize, and operate the Service
- Track credit usage, membership status, and feature entitlements (including watermarking and commercial-use classification as described in our Terms and License)
- Process payments, one-time program discounts, renewals, cancellations, and refunds
- Respond to support requests and send service-related notices
- Detect fraud, abuse, or policy violations
- Comply with legal obligations (tax, accounting, law enforcement requests)
For core service operations, billing, security, fraud prevention, content safety, and policy enforcement, we process information because it is necessary to provide the Service, perform our agreement with you, protect the platform, and comply with legal, payment, and infrastructure obligations. Optional marketing messages or non-essential tracking may rely on separate consent or opt-out controls where required.
We may aggregate anonymized usage statistics to understand product trends. Aggregated data cannot reasonably be traced back to a specific person.
We share information only with:
- Payment processors: To collect fees for credit packs, Yearly membership, Lifetime membership, and other paid products; to create and redeem account-bound one-time discounts; and to manage invoices, refunds, and customer billing portals
- Authentication providers: To log you in securely
- Infrastructure partners: To host the application, store images, and run AI workflows. These partners process prompts and images solely to deliver ConceptViz features and may not use them to train their own public models under our agreements with them.
- AI infrastructure and content safety providers: To run image generation or editing workflows, detect unsafe content, prevent abuse, and enforce our Terms. We may share prompts, uploaded images, generated images, edit instructions, moderation signals, and related metadata solely for these purposes. These providers are not permitted to use your content to train their public models unless separately stated by their own service terms.
- Professional advisors or authorities: When required by law or to enforce our rights
We do not sell personal data.
- Account data persists while your account remains active.
- Generated diagrams and history are retained according to your plan and product settings (for example shorter retention for free accounts and longer retention for paid accounts). You may delete items when the product allows, or request deletion as described below.
- Billing and payment records are retained for at least seven years to satisfy tax and accounting rules.
- Log and security data is typically retained for 30–90 days unless needed for investigations, disputes, or legal obligations.
Content that violates our Terms or Content Policy may be removed from user-facing storage. We may retain limited records, moderation logs, hashes, metadata, or copies where necessary to investigate abuse, enforce our policies, prevent repeat violations, respond to disputes, or comply with legal, payment, or platform obligations.
You may email contact@conceptviz.app to request deletion of your account and associated content. Some records (like invoices) must remain for compliance purposes.
We use HTTPS, role-based access, encryption at rest for stored diagrams where applicable, and routine operational practices to safeguard your data. No system is perfectly secure, so please notify us immediately if you suspect unauthorized access.
- Access & Correction: View or update account details in your settings.
- Data Export: Request a copy of your diagrams and prompt history for a given time range.
- Deletion: Request account deletion by emailing contact@conceptviz.app.
- Billing portal: Manage payment methods and Yearly membership cancellation through the processor’s customer portal when available.
- Marketing Opt-Out: You may opt out of optional product emails via the unsubscribe link.
We use cookies to maintain sessions, remember preferences, and measure feature adoption. For details, see our Cookie Policy. You can control cookies via your browser settings, but essential cookies are required to use signed-in features.
ConceptViz is built for adults (educators, researchers, and professionals), not children. We do not knowingly collect data from individuals under 13. If you believe a minor has provided personal data, contact us so we can delete it promptly.
We may update this Privacy Policy periodically. We will post the new version with an updated effective date. Continued use of ConceptViz after changes means you accept the revised policy.
