Privacy Policy

1. Overview

ConceptViz (“we,” “us,” or “our”) provides AI tools, including the ConceptViz Agent and Studio, for creating illustrations, diagrams, flowcharts, and data visuals for science, teaching, and work. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ConceptViz, you acknowledge that we process information as described below to provide the Service, protect users, prevent abuse, enforce our policies, and meet legal, payment, and platform obligations.

2. Information We Collect

Account Information

• Name and email address
• School, district, organization, subject focus, Education or Creator program application details, and related review notes (if provided)
• Authentication tokens for sign-in providers

Billing & Plan Information

• Product and plan status (for example free account, credit balance, Agent subscription and allowance, Yearly membership, Lifetime membership, an existing Education grant, or an Education / Creator discount)
• Payment status and whether purchases were completed, refunded, or disputed
• Billing address when required by regulation
• Transaction IDs, customer identifiers, and discount or checkout identifiers from our payment processor (we never store full card numbers on our servers)

Usage & Generation Data

• Prompts, settings, and tool parameters you submit to generate or edit diagrams
• Generated images and metadata needed to deliver the Service (for example subject tags, project folders, history records)
• Credit ledger entries (purchases, gifts, consumption, refunds of credits for failed jobs)
• Limited log data to troubleshoot errors, combat abuse, and improve quality

Content Safety and Moderation Data

To keep ConceptViz safe and compliant, we may process prompts, uploaded images, generated images, edit instructions, moderation results, risk scores, account activity, IP/device signals, hashes, and related metadata for content safety, abuse prevention, fraud detection, dispute handling, and policy enforcement.

Technical Data

• Device type, browser, and operating system
• IP address and approximate region
• Session cookies or secure tokens to keep you logged in
• Optional device or browser signals used for anti-abuse (as described in product notices or cookies)

We do not intentionally collect student names, grades, or other student PII. Do not include such data in prompts.

3. Google User Data

If you choose to sign in with Google, ConceptViz uses Google Sign-In (OAuth) and requests only the basic scopes openid, email, and profile.

What we access. From your Google Account we receive your name, email address, profile picture, and a Google account identifier. We do not request access to Gmail, Google Drive, Google Calendar, Contacts, or any other Google service, and we cannot read your Google files or messages.

How we use it. We use this information only to create and secure your ConceptViz account, sign you in, display your name and picture in the app, and contact you about your account and purchases (for example receipts and service notices). Optional product emails can be turned off with the unsubscribe link.

Storage and protection. Your Google profile information is stored with your ConceptViz account in our database and protected as described in the Security section. Sign-in tokens are kept only as long as needed to keep you signed in.

Sharing. We do not sell Google user data, use it for advertising, or share it with third parties, except with service providers who host and operate ConceptViz on our behalf, or when required by law.

Limited Use. ConceptViz’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to develop, improve, or train generalized AI or machine learning models.

Your control. You can remove ConceptViz’s access at any time from your Google Account’s security settings (Third-party apps with account access), and you can ask us to delete your ConceptViz account and the associated Google profile information by emailing contact@conceptviz.app.

4. How We Use Information

We process your data to:

• Provide, personalize, and operate the Service
• Track credit usage, membership status, and feature entitlements (including watermarking and commercial-use classification as described in our Terms and License)
• Process payments, one-time program discounts, renewals, cancellations, and refunds
• Respond to support requests and send service-related notices
• Detect fraud, abuse, or policy violations
• Comply with legal obligations (tax, accounting, law enforcement requests)

For core service operations, billing, security, fraud prevention, content safety, and policy enforcement, we process information because it is necessary to provide the Service, perform our agreement with you, protect the platform, and comply with legal, payment, and infrastructure obligations. Optional marketing messages or non-essential tracking may rely on separate consent or opt-out controls where required.

We may aggregate anonymized usage statistics to understand product trends. Aggregated data cannot reasonably be traced back to a specific person.

5. Sharing & Disclosure

We share information only with:

• Payment processors: To collect fees for credit packs, Agent subscriptions and allowance packs, Yearly membership, Lifetime membership, and other paid products; to create and redeem account-bound one-time discounts; and to manage invoices, refunds, and customer billing portals
• Authentication providers: To log you in securely
• Infrastructure partners: To host the application, store images, and run AI workflows. These partners process prompts and images solely to deliver ConceptViz features and may not use them to train their own public models under our agreements with them.
• AI infrastructure and content safety providers: To run image generation or editing workflows, detect unsafe content, prevent abuse, and enforce our Terms. We may share prompts, uploaded images, generated images, edit instructions, moderation signals, and related metadata solely for these purposes. These providers are not permitted to use your content to train their public models unless separately stated by their own service terms.
• Analytics, support, and referral services: To understand website use, respond to messages, and attribute partner referrals, as listed in Section 9
• Advertising providers, when ads are shown: To deliver and measure advertising as described in Section 10, subject to applicable consent requirements
• Professional advisors or authorities: When required by law or to enforce our rights

We do not sell personal data.

6. Data Retention

• Account data persists while your account remains active.
• Generated diagrams and history are retained according to your plan and product settings (for example shorter retention for free accounts and longer retention for paid accounts). You may delete items when the product allows, or request deletion as described below.
• Billing and payment records are retained for at least seven years to satisfy tax and accounting rules.
• Log and security data is typically retained for 30–90 days unless needed for investigations, disputes, or legal obligations.

Content that violates our Terms or Content Policy may be removed from user-facing storage. We may retain limited records, moderation logs, hashes, metadata, or copies where necessary to investigate abuse, enforce our policies, prevent repeat violations, respond to disputes, or comply with legal, payment, or platform obligations.

You may email contact@conceptviz.app to request deletion of your account and associated content. Some records (like invoices) must remain for compliance purposes.

7. Security

We use HTTPS, role-based access, encryption at rest for stored diagrams where applicable, and routine operational practices to safeguard your data. No system is perfectly secure, so please notify us immediately if you suspect unauthorized access.

8. Your Choices

• Access & Correction: View or update account details in your settings.
• Data Export: Request a copy of your diagrams and prompt history for a given time range.
• Deletion: Request account deletion by emailing contact@conceptviz.app.
• Billing portal: Manage payment methods and Yearly membership cancellation through the processor’s customer portal when available.
• Marketing Opt-Out: You may opt out of optional product emails via the unsubscribe link.

9. Cookies & Tracking

We use cookies to maintain sessions, remember preferences, and measure feature adoption. For details, see our Cookie Policy. You can control cookies via your browser settings, but essential cookies are required to use signed-in features.

Services Used on Our Website

The following services support website measurement, chat, referrals, payments, and security. Which services load and which cookies are set depend on the page, your interactions, browser settings, and applicable consent requirements. This table describes existing services; possible future advertising is covered separately in Section 10.

10. Advertising and Your Choices

ConceptViz may display advertisements supplied by Google and other third-party vendors. When ads are shown, these vendors may use cookies, web beacons, IP addresses, and other identifiers to deliver and measure ads based on your visits to this website and other websites. Google's use of advertising cookies enables Google and its partners to serve ads based on your visits to ConceptViz and other sites on the Internet.

You can turn off personalized Google ads in My Ad Center. You can also manage participating third-party vendors' personalized advertising through YourAdChoices or Your Online Choices. Opting out of personalization does not necessarily remove all ads.

Before introducing advertising, we will put a consent management tool in place for visitors in the European Economic Area, the United Kingdom, and Switzerland. We will ask for consent before serving personalized ads or setting non-essential cookies in these regions, and visitors will be able to withdraw that consent at any time through the tool. Advertising and this consent tool are not currently active on ConceptViz.

Advertising cookies and identifiers associated with website visits are separate from account data received through Google Sign-In. We do not use Google Sign-In account data for advertising or provide it to advertising vendors. The commitments in Section 3 remain unchanged.

11. Children’s Privacy

ConceptViz is built for adults (educators, researchers, and professionals), not children. We do not knowingly collect data from individuals under 13. If you believe a minor has provided personal data, contact us so we can delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy periodically. We will post the new version with an updated effective date. Continued use of ConceptViz after changes means you accept the revised policy.
