1. Overview

ConceptViz (“we,” “us,” or “our”) helps U.S. teachers generate classroom-ready diagrams. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ConceptViz, you acknowledge that we process information as described below to provide the Service, protect users, prevent abuse, enforce our policies, and meet legal, payment, and platform obligations.

2. Information We Collect

Account Information

• Name and email address
• School, district, or subject focus (if provided)
• Authentication tokens for sign-in providers

Billing Information

• Subscription tier and payment status
• Billing address when required by regulation
• Transaction IDs from our payment processor (we never store full card numbers)

Usage & Generation Data

• Prompts and settings you submit to generate diagrams
• Generated images and metadata (subject tags, grade level) needed to deliver the Service
• Limited log data to troubleshoot errors, combat abuse, and improve quality

Content Safety and Moderation Data

To keep ConceptViz safe and compliant, we may process prompts, uploaded images, generated images, edit instructions, moderation results, risk scores, account activity, IP/device signals, hashes, and related metadata for content safety, abuse prevention, fraud detection, dispute handling, and policy enforcement.

Technical Data

• Device type, browser, and operating system
• IP address and approximate region
• Session cookies or secure tokens to keep you logged in

We do not intentionally collect student names, grades, or other student PII. Do not include such data in prompts.

3. How We Use Information

We process your data to:

• Provide, personalize, and operate the Service
• Track credit usage and enforce plan limits
• Respond to support requests and send service-related notices
• Detect fraud, abuse, or policy violations
• Comply with legal obligations (tax, accounting, law enforcement requests)

For core service operations, billing, security, fraud prevention, content safety, and policy enforcement, we process information because it is necessary to provide the Service, perform our agreement with you, protect the platform, and comply with legal, payment, and infrastructure obligations. Optional marketing messages or non-essential tracking may rely on separate consent or opt-out controls where required.

We may aggregate anonymized usage statistics to understand lesson trends and prioritize curriculum categories. Aggregated data cannot be traced back to a specific teacher.

4. Sharing & Disclosure

We share information only with:

• Payment processors: To collect subscription fees and manage invoices
• Authentication providers: To log you in securely
• Infrastructure partners: To host the application, store images, and run AI workflows. These partners process prompts and images solely to deliver ConceptViz features and may not use them to train their own public models.
• AI infrastructure and content safety providers: To run image generation or editing workflows, detect unsafe content, prevent abuse, and enforce our Terms. We may share prompts, uploaded images, generated images, edit instructions, moderation signals, and related metadata solely for these purposes. These providers are not permitted to use your content to train their public models unless separately stated by their own service terms.
• Professional advisors or authorities: When required by law or to enforce our rights

We do not sell educator data or student-related information.

5. Data Retention

• Account data persists while your account remains active.
• Generated diagrams are stored for up to 90 days for paid accounts (shorter for free accounts) unless you delete them earlier.
• Billing records are retained for at least seven years to satisfy U.S. tax rules.
• Log data is typically retained for 30–90 days unless needed for security investigations.

Content that violates our Terms or Content Policy may be removed from user-facing storage. We may retain limited records, moderation logs, hashes, metadata, or copies where necessary to investigate abuse, enforce our policies, prevent repeat violations, respond to disputes, or comply with legal, payment, or platform obligations.

You may email [email protected] to request deletion of your account and associated content. Some records (like invoices) must remain for compliance purposes.

6. Security

We use HTTPS, role-based access, encryption at rest for stored diagrams, and routine audits to safeguard your data. No system is perfectly secure, so please notify us immediately if you suspect unauthorized access.

7. Your Choices

• Access & Correction: View or update account details in your settings.
• Data Export: Request a copy of your diagrams and prompt history for a given time range.
• Deletion: Request account deletion by emailing [email protected].
• Marketing Opt-Out: Free and paid accounts may opt out of optional product emails via the unsubscribe link.

8. Cookies & Tracking

We use cookies to maintain sessions, remember preferences, and measure feature adoption. For details, see our Cookie Policy. You can control cookies via your browser settings, but essential cookies are required to use the dashboard.

9. Children’s Privacy

ConceptViz is built for educators, not students. We do not knowingly collect data from individuals under 13. If you believe a student has provided personal data, contact us so we can delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy periodically. We will post the new version with an updated effective date. Continued use of ConceptViz after changes means you accept the revised policy.
